This Privacy Policy applies to all personal information collected by James River Church from job applicants who apply for any position (volunteer, part-time, or full-time) with the Church, whether through our website, through third-party platforms, via email, paper applications, or in-person submissions.
 

Our Applicant Tracking System (ATS) is Paylocity, and personal information you submit may be processed and stored through Paylocity's platform in accordance with their data protection practices.

 

2. Sensitive Personal Information

Certain types of information are considered sensitive personal information in certain jurisdictions. 

Depending on the stage of an application, in addition to the information you provide to us, we may obtain information about you from other third parties, such as platforms used to collect application information, recruiters, references, former employers, and law enforcement agencies.

When you apply for a job with us, we may collect various categories of personal information through our hiring platform (Paylocity) and other means. This information is used to evaluate and process your application and may include:

Contact Information

  • Name
  • Physical address
  • Telephone number
  • Fax number
  • Email address
  • Username (if applicable)

Employment and Educational History

  • Resume and cover letter
  • Employment history and previous work experience
  • Education credentials, degrees, and certifications
  • References
  • Language skills and other qualifications
  • Professional licenses, permits, and certifications
  • Awards and professional memberships
  • Compensation history (if voluntarily disclosed)

Demographic Data

  • Voluntarily provided information such as age, gender, and race/ethnicity (only where legally permitted and optional)

Background Information

  • Criminal history (if applicable and consistent with Missouri law and church-related hiring exemptions)
  • Credit history (if applicable)
  • Work authorization status
  • Information relating to references

Religious Affiliation

  • As a religious organization, the Church may lawfully inquire into an applicant’s religious beliefs and practices to assess alignment with our faith-based mission. This is consistent with Title VII exemptions for religious institutions.

Other Information

  • Employment preferences, willingness to relocate, and desired salary
  • Information from social media sites if you choose to link your application
  • Information regarding your use of our website (as described in the Privacy and Cookie Notice)
  • Any other information you elect to provide during the hiring process
     


 

4. How We Use Your Information

We use the personal information you provide during the job application process for recruitment, personnel management, and planning purposes, including the following:

  • To assess your qualifications, experience, and suitability for the position applied for or future opportunities that match your profile.
  • To verify background information, references, and other submitted details, including criminal history and employment checks (if applicable and consistent with legal requirements).
  • To manage and facilitate the hiring process through Paylocity, our Applicant Tracking System.
  • To communicate with you regarding your application, respond to your inquiries, notify you of other job openings, or provide other relevant updates.
  • To comply with applicable laws, regulations, and internal recordkeeping policies.
  • To ensure alignment with the Church’s mission, beliefs, and spiritual standards.
  • We may also use and share information in an aggregated or de-identified format at our discretion—for purposes such as research, analysis, modeling, marketing, and improving our services.

 

5. Accuracy of Information You Provide

You are responsible for the information you provide to Paylocity and ensuring that it is honest, truthful, accurate, and not misleading in any way. 

 

6. Legal Basis for Processing

James River Church processes your information on the following legal bases:

  • Your consent (e.g., when you submit your application).
  • Compliance with legal obligations (e.g., verifying employment eligibility).
  • Our legitimate interests in managing a secure and effective recruitment process.
  • Exemptions available to religious organizations under Title VII of the Civil Rights Act and related laws.

 

7. Disclosure of Your Information

We may share your information with:

  • Internal personnel involved in the hiring process.
  • Paylocity, our Applicant Tracking System provider, which processes application data on our behalf under strict confidentiality and security measures.
  • Third-party service providers (e.g., background check agencies), bound by confidentiality agreements.
  • Government agencies, if required by law (e.g., for employment verification or background screening compliance).

We do not sell or lease your personal information to third parties.

We retain your personal information only as long as necessary for the hiring process or as required by law. If you are hired, your information will become part of your employment record. If not hired, we may retain your application in Paylocity for future openings, unless you request complete removal from all future opportunities.

We implement appropriate technical, organizational, and physical security safeguards to protect your personal data against unauthorized access, use, disclosure, or destruction. Paylocity also applies industry-standard security practices to safeguard your information.

 

11. Changes to our Job Applicant Notices

We reserve the right to modify, alter, or update the terms and conditions of this Notice from time to time without prior notice. We will post those changes on this page in addition to updating the "Last Updated" date at the top of this webpage. Modifications shall become effective immediately upon being posted.

Depending on your location and applicable laws, you may have the right to:
