Description


The Home Care Scheduling & Staffing Coordinator is responsible for coordinating and maintaining caregiver schedules to ensure quality care and uninterrupted service delivery for clients. This role serves as a liaison between caregivers, clients, field staff, and internal operations teams to effectively match caregiver availability, skills, and client needs while ensuring adequate coverage for all scheduled shifts. The ideal candidate has prior experience in home care scheduling, caregiver staffing, and workforce coordination, with a strong understanding of home care operations and client service expectations.


Job Description:

  • Coordinate and manage daily caregiver schedules for assigned clients and service areas.
  • Match caregivers to client cases based on availability, qualifications, care requirements, and geographic considerations.
  • Monitor schedules and proactively address call-offs, schedule changes, and last-minute staffing needs.
  • Communicate with caregivers regarding shift assignments, schedule updates, and coverage requirements.
  • Coordinate with intake, clinical, and operations teams to ensure timely client onboarding and continuity of care.
  • Maintain accurate scheduling records within designated scheduling and workforce management systems.
  • Ensure all client shifts are staffed appropriately and escalate coverage concerns when necessary.
  • Monitor caregiver availability, overtime, and scheduling compliance requirements.
  • Respond to caregiver and client scheduling inquiries in a timely and professional manner.
  • Assist with recruitment and onboarding teams by coordinating new caregiver availability and placement opportunities.
  • Support workforce planning efforts to maintain appropriate staffing levels and service coverage.
  • Ensure compliance with company policies, state regulations, and healthcare privacy standards (HIPAA).

Requirements


Successful candidates should demonstrate experience in staffing caregivers within a home care environment and possess a strong understanding of scheduling best practices, caregiver-client matching, and workforce coordination. They must be comfortable managing high-volume schedules, addressing last-minute coverage needs, and working in a fast-paced operational environment.


Candidates should be able to effectively communicate with caregivers, clients, and internal stakeholders while balancing multiple priorities simultaneously. Strong organizational skills, attention to detail, and the ability to make staffing decisions under tight deadlines are essential. Experience with home care operations, caregiver scheduling platforms, and maintaining continuity of care through effective staffing practices is highly preferred.


Preferred Experience:

  • Experience scheduling and staffing caregivers/CNAs/HHAs for client assignments.
  • Familiarity with caregiver availability management, shift coverage, and client service coordination.
  • Experience working with scheduling software and workforce management systems.
