OVERVIEW

Rahal Letterman Lanigan Racing (RLL) is a championship-winning organization competing in the NTT INDYCAR SERIES and IMSA WeatherTech SportsCar Championship. We are seeking a driven and detail-oriented Event Manager to enhance our guest and partner experiences both trackside and beyond. This role will oversee the planning, execution, and post-event coordination of high-impact experiences across the RLL calendar—ranging from hospitality activations to special events and corporate programs.
 

This highly visible position interacts directly with RLL partners, prospects, vendors, and internal departments. The ideal candidate excels in fast-paced environments, is passionate about live event execution, and has a hospitality-first mindset.

Requirements

KEY RESPONSIBILITIES 

Event Planning & Logistics

  • Plan, manage, and execute hospitality and event programs across INDYCAR, IMSA, and RLL partner engagements
  • Coordinate on-track and off-track experiences including hospitality suites, show car appearances, summits, fan experiences, and corporate events
  • Manage the full guest experience lifecycle: credentialing, ticket allocation, gifting, run-of-show, F&B coordination, and event collateral
  • Build and maintain weekend event schedules (e.g., guided tours, meet & greets, hospitality timing)
  • Support sourcing and logistics of space, vendors, rentals, and merchandise needs

Partner Experience & Communication

  • Serve as a day-to-day liaison for RLL partners and their agencies leading up to and during events
  • Facilitate timely and accurate credential requests and guest communications
  • Assist with content creation for Partner Activation Guides, forms, and communications
  • Deliver elevated trackside experiences aligned with brand expectations

On-Site Event Execution

  • Lead on-site event logistics, including guest registration, golf cart coordination, tour management, and vendor supervision
  • Ensure event spaces meet RLL's standards of hospitality, presentation, and professionalism
  • Collaborate closely with F&B, catering, and décor vendors to maintain operational excellence throughout the event

Post-Event Reporting & Optimization

  • Support budget tracking, reconciliation, and invoicing with internal accounting
  • Curate content and imagery from events for reports, communications, and marketing use
  • Contribute to internal debriefs, process improvement, and best practice documentation 

IDEAL CANDIDATES

  • 2–3 years of experience in event planning, hospitality, or guest services
  • Experience coordinating ticketing, staffing, or hospitality logistics
  • Bachelor’s degree or equivalent experience
  • 1–2 years motorsports, sports marketing, or live event experience preferred
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word)
  • Familiarity with guest management software and/or Adobe Creative Suite a plus
  • Must be able to travel extensively, including weekends and holidays during the race season
  • Excellent communication and relationship-building skills
  • Proven ability to thrive under pressure and adapt quickly
