Position Title: Legal Assistant 

Reports To: Legal Assistant Supervisor


Responsibilities:

  •   Accurately file documents with the court ahead of deadlines
  • Process third party and vendor invoices
  • File, organize, scan, copy and fax legal documents and other mailings in a timely manner
  • Schedule court depositions, hearings, and other meetings
  • Facilitate the meeting of deadlines by keeping multiple agendas and provide timely reminders 
  • Assist with event coordination and in-house client meeting preparation
  • Assist with research projects as needed
  • Register attorneys for conferences, speaking engagements or webinars
  • Maintain firm contact database and run reports as requested
  • Calendaring and sends motions for calendar
  • Maintain supply inventory and order supplies as needed
  • Maintain Office and Kitchen cleanliness daily
  • Daily Mail distribution 
  • Other responsibilities as requested.
Requirements

Education and Experience Requirements

  •    3+ years' experience as a paralegal or legal secretary
  • Familiarity with legal documents and terminology
  • Working knowledge of litigation management software systems
  • Proficient with Microsoft Outlook, Word, Excel, PowerPoint and Adobe Acrobat
  • Must possess the following skills: Organization, Planning, Attention to Detail, Confidentiality, Dependability, Client Confidentiality
  • Effectively prioritize and meet deadlines and follow up required
  • Work collaboratively with attorneys and other colleagues as well as external clients at all levels
  • Work independently with little or no supervision
  • Demonstrate a courteous and professional demeanor
  • Superior written and oral communication skills
  • Ability to receive multiple directives in a fast-paced environment and prioritize accordingly.
